Compare the verification job before the vendor

For a U.S. hiring program, define whether you need employment dates, degrees, professional credentials, references or criminal-record information. Those checks answer different questions. A package advertised as a background check may omit employment verification entirely. Send each prospective company the same list of checks, countries, years and expected candidate volume.

Use a provider’s authorized employment-screening workflow for hiring. A general people-search result or informal court lookup is not a substitute for the employer’s required consumer-report process. Confirm which federal, state and local rules apply to the role with qualified counsel; the purchase of software does not make a decision lawful.

Two documented companies to evaluate

Checkr describes standalone and packaged employment verification covering U.S. and international experience, with education, license and reference checks available separately. Its configurable employment scope includes a one-to-ten-year lookback and from one to unlimited employers; country coverage and the number of employers affect what is ordered. Ask which settings your quote actually includes.

HireRight publishes U.S. candidate guidance for employment, education and professional-license verification, document submission and disputes. That provides concrete questions for a demonstration: how does it contact a closed employer, handle a school that does not reply, and distinguish conflicting evidence from an inability to verify? These two examples are not an accuracy ranking or endorsement.

Compare units and additional charges, not headline prices

On October 2, 2026, Checkr’s pricing page listed U.S. employment verification from $12.50 per check for the current employer, $15 for three years, $25 for five, $35 for seven and $50 for ten. Education verification was $12.50 for one degree, $18.75 for up to two and $25 for up to three. Professional-license verification was $12 and reference verification $10 per check.

Those headline prices exclude applicable access fees. Checkr lists employment third-party database fees of $17.95–$119.95 and a $58 direct-match access fee with its own combining rules. Education database fees range from $3.95–$50. Request the expected all-in price for your candidate mix, including unsuccessful outreach, international work, repeat searches and any minimum commitment.

The HireRight candidate help pages used here do not quote a comparable employer package price. Obtain a written proposal rather than treating missing public pricing as free. Keep one-time verification charges, recurring monitoring, integration costs and cancellation terms separate so the comparison is about the same deliverable.

Check what evidence an unresolved verification accepts

HireRight’s employment instructions require a complete, legible document showing the candidate, employer, issue date and employment dates matching the submitted history. If employer names differ, their relationship must be explained. Examples include W-2s and online pay stubs. Education evidence must identify the candidate, school and issue date; ordinarily it helps verification with the source rather than being accepted at face value, unless the client directs otherwise.

  • Ask for sample results showing verified, discrepant and unable-to-verify outcomes, including what evidence supports each label.
  • Confirm how candidates submit documents securely, what unnecessary sensitive fields can be redacted and who can view them.
  • Ask whether current-employer contact can be deferred and how missing responses are escalated without treating silence as dishonesty.

Treat speed claims as estimates tied to the actual workflow

Checkr says most employment verifications finish in under three days, but that is a provider claim rather than a deadline for every employer or country. HireRight says it continues processing until the report is complete and may seek more information; it asks candidates to respond within 24 hours when possible. Neither statement establishes a guaranteed finish date for your package.

During a demonstration, follow one unresolved employer through status updates, candidate evidence, support and final reporting. Request separate turnaround expectations for database matches and manual outreach. Verify the actual integration with your hiring system and who owns delays; a long list of supported integrations is not proof that your configured workflow is ready.

Keep disclosure and the hiring decision with the employer

The FTC explains that an employer using a background reporting company must give a standalone written disclosure and obtain written permission. Before a negative employment decision based on the report, it must supply the report and a Summary of Rights. After an adverse decision, the person must receive the reporting company’s details and information about dispute rights and a free report requested within 60 days.

HireRight states that it does not make the hiring decision. Direct a question about the employer’s reasoning to the employer, while challenging inaccurate or incomplete report information with the screening company. Ask vendors to demonstrate that separation rather than accepting an automatic label as the complete decision process.

Test the correction route before choosing a company

HireRight offers free U.S. report disputes through its dispute form. For non-Uber reports, its Applicant Care number is 866-521-6995; Uber reports have a separate route. The stated reinvestigation period is up to 30 days, or 45 in limited circumstances. Keep the disputed entry and supporting official documents, then review the corrected report.

Choose after recording the ordered checks, exclusions, identifiers required, evidence rules, price assumptions, service expectations, escalation contact and contract commitments. If two proposals remain incomparable, request a revised scope before signing. A useful shortlist is one you can explain by the work each company will actually perform, not by an unsupported “best” label.
